Why Archive Relocation Requires Specific Planning
A historical archive, library or document collection relocation is not an ordinary move. Every folder, register or volume has identifying and legal value that must be preserved throughout the entire move: a single sequencing error during handling can make a document untraceable for years.
Without a structured checklist, the most common risks are the loss of the original archival order, damage to fragile materials during loading, and the lack of documented reconciliation between what left and what arrived at the destination.
Warning: an unplanned archive relocation can result in the permanent loss of the original filing order, with direct consequences for the future retrievability of documents and possible findings during inspections by the Archival Superintendency.
Porcacchia Egidio
The 3-Phase Operational Protocol
Every archive relocation managed by Porcacchia Egidio follows a three-phase protocol, designed to maintain traceability and integrity of the document collection from origin to destination.
01. Inventory and Photographic Documentation
Before moving even a single folder, a complete inventory of the archive is carried out: numbering of units, photographs of the conservation condition, and mapping of the original location on shelving and in rooms, to guarantee exact restoration of the filing order at the destination.
02. Protective Packaging and Climate-Controlled Transport
Each unit is packed in materials that are acid-free and pH-neutral, then loaded onto climate-controlled vehicles with air suspension, avoiding temperature and humidity swings that could damage paper, parchment or antique bindings.
03. Documented Handover and Final Reconciliation
On arrival, each unit is repositioned according to the original mapping and a handover report is produced with a detailed reconciliation between what left and what arrived, signed by both parties.
A well-executed checklist reduces to zero the time needed to find a document after the move: the original filing order is preserved, not reconstructed.
Trained Personnel and Verifiable References
Relocating an archive requires personnel specifically trained in handling fragile documentary material, not generic moving staff. Porcacchia Egidio provides technicians with specific experience in the archival and library field, capable of correctly handling even the most delicate collections.
Before entrusting your archive relocation to anyone, always verify the operator’s specific references for moving documentary material: not every removals company has the experience needed for this type of work.
